Converting is a multi-step process: First select the book in the Calibre library window, then click on the Convert Books item in the app’s toolbar, choose a new output format from the pop-up menu in the top right corner (I choose MOBI), and click OK. If not, you can use a web browser or file manager that supports remote directories, and find the book, download it locally, and then open it. If your external viewer supports a Calibre library, then you can use it to open a book directly. The limitation is because the database is not designed for locking, so if a person is using Calibre, and makes some changes while another is adding books or making other changes, the database can get corrupted. You can put the library on Dropbox or other cloud source as long as there are not multiple, simultaneous users. You mention how your library is organized is it the standard Calibre library? If not, you will need to import the books into Calibre, then get rid of the old library. Some of this depends on what device(s) you use for reading.
